This policy explains how Tembo Travel looks after your personal information when you use this website or make a booking enquiry. We’ll keep it simple and honest.
1. Who we are
The data controller is Tembo Travel, based at 55 Devonshire Rd, Chorley PR7 2DR. You can contact us about your data at info@tembotravel.co.uk or on 07496 339393.
2. What information we collect
When you send a booking enquiry we collect what you type into the form:
- your name, mobile number and (optionally) email address;
- your pick-up address and postcode, and where you’re travelling to;
- travel dates and times, number of passengers and, optionally, a flight number;
- anything you add about special requirements or requests, such as large luggage, a child seat, a wheelchair or a mobility scooter.
We also process your IP address and basic technical details when you use the form, so we can keep it secure and block spam. Our web host keeps standard server logs for the same reason.
If you tell us about a mobility need such as a wheelchair or scooter, that may count as health information. We use it only so we can send a suitable vehicle. By choosing to include it you agree that we may use it for that purpose, and you can withdraw that agreement at any time by contacting us.
3. Why we use it, and our legal basis
- To arrange and carry out your booking, including contacting you to confirm it. Basis: it is necessary to take steps at your request before entering a contract, and to perform that contract.
- To keep the website secure and stop spam. Basis: our legitimate interest in protecting our business and customers.
- To keep records we are required to keep by law, for example for accounting or licensing. Basis: legal obligation.
- To handle any mobility or health information you give us. Basis: your explicit consent.
We do not sell your information, and we do not use it for advertising.
4. Who we share it with
We only share your information with companies that help us run the service, and only as far as needed:
- Our web host (GoDaddy), which stores the website and handles form submissions and email.
- Email. Each booking enquiry is emailed to the people who run Tembo Travel. Some of those inboxes are hosted by Google (Gmail), so Google processes those emails on our behalf. We use Brevo, an email delivery service, to send these notifications.
- WhatsApp (Meta). When you send an enquiry, we receive an alert message with your booking details through the WhatsApp Business Platform, which Meta operates.
- Cloudflare Turnstile. This is a security check that tells real people from bots. It receives technical information such as your IP address and browser details when you reach the last step of the form.
- Google Fonts. Our pages load fonts from Google, so your browser contacts Google’s servers and shares your IP address with them. We do not use Google for advertising or tracking on this site.
Our pages also link to Facebook and WhatsApp. If you follow those links you leave our site, and their own privacy policies apply. We may also have to share information if the law requires it, for example with the licensing authority or the police.
5. Transfers outside the UK
Some of the companies above, such as Cloudflare, Google and Meta, may process information outside the UK. Where that happens we rely on the safeguards the law provides, such as UK adequacy regulations or approved standard contractual terms.
6. How long we keep it
We keep booking details for 12 months after your journey, so we can deal with questions, complaints and disputes about your journey. We keep anything we are legally required to hold, such as accounting records, for as long as the law says. After that we delete it or make it anonymous.
7. Your rights
You can ask us to: see the information we hold about you; correct it; delete it; restrict or object to how we use it; or give you a copy in a portable format. Where we rely on your consent, you can withdraw it at any time. Contact us at info@tembotravel.co.uk and we will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We’d appreciate the chance to put things right first.
8. Cookies
This website does not set advertising or analytics cookies, and it does not use any tracking tools. For that reason we do not show a cookie banner.
The security check from Cloudflare (Turnstile) may store small technical items in your browser to prove you are a real person, and the fonts load from Google as explained above. These are used for security and display, not to track you.
If we add analytics or marketing tools in future, we will ask for your permission first and update this page.
9. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
